Private Client Legal Secretary

Private Client Legal Secretary, Ashford, Part Time 4 days, Salary £18,000 to £20,000

KEY JOB RESPONSIBILITIES/DUTIES:

  • Providing full secretarial support to Partner and department, including arranging appointments, dealing with client queries in person and by phone, together with preparation of correspondence by audio typing via the digital dictation system; taking client ID etc.
  • Billing as required throughout the month and at month end, including writing cheques to settle where appropriate; updating the system and partner accordingly;
  • Preparing letters of engagement and file checklists;
  • Maintaining and coordinating diaries and diary notes and reporting on these as necessary;
  • Regular consideration of client files and advising fee earners on any action required;
  • Participate in the daily office rotas to cover Reception during lunch breaks, holidays and unforeseen absences; banking; collection/delivery of incoming/outgoing post/ DX;Probate

Administration of Probate matters including;

  • Collation of paperwork brought in by family; reading Death Certificate and Will (if applicable) and entering details onto Probate Case system;
  • Writing to all relevant parties including nursing homes, financial institutions and societies to confirm accounts and obtain date of death balances; legatees, residuary beneficiaries, utility and home insurance companies, updating Case system and Partner accordingly;
  • Providing shareholding documentation to Financial Advisor; liaising as necessary to sell/transfer shares;
  • Submitting NS&I search (if appropriate)
  • Submitting application for Probate, including submitting Inland Revenue Account to HMRC if estate taxable;
  • Completing withdrawal authorities and obtaining signatures of personal representatives; sending file to Tax Advisor when Grant received;
  • Closing accounts and reporting to Partner when assets collected in;
  • If appropriate arranging for property to be cleared and marketed; ordering Energy Performance Certificate/floor plan; Dealing with utility bills and final account on sale of property;
  • Paying legacies and payments on account to residuary beneficiaries on instruction from Partner;
  • Settling any liabilities such as care home bills;
  • Assembling Accounts together with copy Will, Grant, bills; submitting to personal representatives for approval; making final distribution;
  • Carrying out bankruptcy searches where required

Wills (when required)

  • Formatting Will drafted by Partner or draft from instructions taken by Partner;
  • Preparing engrossment for signature and send to client;
  • Scan copy of signed Will to matter file
  • LPAs (when required)
  • Prepare LPAs for signature by client; Preparing applications to register and notices;
  • Serving notice by post;
  • Send certified copies to client and Attorneys;
  • Registration of EPA’s (when required)
  • Preparing forms to register EPA
  • Sending to client for signature
  • Submitting application to OPG for registration
  • Sending certified copies to Attorney once registered
